US visa interview: how to prepare and avoid a refusal

What the consular officer is looking for, the questions you're likely to hear, and the documents to carry.

The US visitor visa (B1/B2) is decided in a short interview, often lasting only two or three minutes. That's not much time to make your case, which is why preparation makes such a difference. Interest is highest from Karnataka, Telangana and Tamil Nadu, where many families have children studying or working in the US, and our offices in Bangalore, Hyderabad and Chennai prepare applicants for interviews every week.

This guide explains how the process works from India, what the officer is assessing, the questions you are likely to hear and the documents to carry. It reflects the process at the time of writing (October 2026).

The process, step by step

  1. DS-160: the online application form. Every answer matters, because the officer reads it before you speak.
  2. Fee: the visa application fee (MRV fee) is US$185, paid before booking an appointment. A separate US$250 "visa integrity fee" was introduced by US law in 2025; check whether it is being collected when you apply.
  3. Appointments: one at the Visa Application Centre for fingerprints and photograph, then the interview at the US Embassy in New Delhi or a Consulate in Chennai, Hyderabad, Mumbai or Kolkata.
  4. Interview: a few minutes at a window, in English or your preferred language.
  5. Result: if approved, your passport is kept for visa printing and returned by courier or for collection.

Since September 2025, most applicants must attend an in-person interview, including many who previously qualified for an interview waiver. Some renewals within a short window may still qualify. We check your eligibility before you book.

What the officer is assessing

US law presumes every visitor visa applicant intends to stay in the US, unless they show otherwise. The officer is looking for a clear, consistent picture of three things:

  • Purpose: why you are going, for how long, and that it is a genuine visit.
  • Funds: that you or a sponsor can pay for the trip.
  • Ties: why you will come back: your job, business, family, property and travel history.

Questions you are likely to hear

  • What is the purpose of your trip?
  • How long will you stay, and where?
  • Who do you know in the US? What do they do there, and what is their status?
  • What do you do for work? How long have you been there, and what do you earn?
  • Who is paying for the trip?
  • Have you travelled abroad before? Where?
  • Are you married? Do you have children? Where are they now?

Parents visiting children in the US are often asked about their child's course or job and visa status, and how long they plan to stay. Keep the answer specific: "Six weeks, for my daughter's graduation in May" is better than "Some time".

How to answer

  • Be brief and direct. Answer the question asked, then stop.
  • Be consistent with your DS-160. Re-read it the night before. A mismatch is the most avoidable reason for refusal.
  • Speak for yourself. Don't memorise scripted answers; officers recognise them.
  • Be honest. If you were refused before or have relatives in the US, say so. Misrepresentation can lead to a permanent bar.
  • Hand over documents only when asked. Have them organised so you can find any one in seconds.

Documents to carry

  • Current passport and all old passports
  • DS-160 confirmation page and appointment confirmation
  • Fee payment receipt
  • Employment letter with leave approval, recent salary slips and Form 16
  • If self-employed: business registration, GST certificate and company financials
  • Income tax returns for the last three years and bank statements
  • Property documents, if any
  • If visiting family: an invitation letter and copies of your host's US status documents (visa, I-20, work permit or green card)
  • For business: a letter from your employer and an invitation from the US company

When to apply

Interview waiting times change through the year and differ between Chennai, Hyderabad and Mumbai. Summer and the December holidays are busiest. Apply as soon as your plans are firm, and don't book non-refundable flights until the visa is in your passport. We monitor the appointment system and move applicants to earlier slots when they open.

After the interview

  • Approved: B1/B2 visas for Indian citizens are commonly valid for up to ten years, with each stay decided at the US border, typically up to six months.
  • Administrative processing (221(g)): the officer needs more information or checks. Respond quickly to any request.
  • Refused under 214(b): the officer wasn't convinced of your ties. This is not a permanent ban. Reapply only when something meaningful has changed, such as a new job, a promotion, a completed trip to another country, and be ready to explain what's different.

How we help

We complete the DS-160 with you, review it for consistency, book both appointments, look for earlier slots and run a practice interview so the real one feels familiar. See US visa assistance or contact your nearest office in Bangalore, Hyderabad or Chennai.

Questions, answered

How much is the US visitor visa fee in India?

The B1/B2 application fee is US$185, paid in rupees before booking. A US$250 visa integrity fee was introduced by law in 2025; we confirm whether it applies when you apply.

How long is the US visa interview?

Usually two to five minutes. That's why clear, consistent answers and an accurate DS-160 matter so much.

What does a 214(b) refusal mean?

The officer wasn't satisfied that you will return after your visit. It isn't a permanent ban; you can reapply when your circumstances have meaningfully changed.

Can parents visiting children in the US get a visa?

Yes, it's one of the most common reasons we see. Carry your child's status documents and an invitation letter, and be clear about how long you'll stay and why you'll return.

Do I still qualify for an interview waiver?

Fewer applicants do since September 2025. Some renewals within a short period of the previous visa's expiry may still qualify. We check before booking.
