Planning an incentive trip from the UAE
Destinations within four hours, visas for mixed-nationality teams, budgets and the details that make an incentive memorable.

An incentive trip rewards your best people, so it has to feel special and run without a hitch. From the UAE, the options are unusually wide: dozens of destinations within four hours' flight, excellent airline connections and a calendar of long weekends that make short programmes easy to fit in. The challenge is usually the team itself, which often holds ten or more passports.
Here's how we plan incentive trips for UAE companies: choosing the destination, handling visas for mixed-nationality teams, setting the budget, and the details that make a trip memorable.
Start with the brief
Before choosing a destination, agree on:
- Who's going: number of travellers, nationalities, partners included or not.
- Why: a sales reward, a leadership retreat, a celebration of a milestone.
- When: dates, and how many working days the business can spare.
- Budget: per person, all-inclusive, so options can be compared fairly.
- Tone: adventure, luxury, culture or relaxation.
Destinations within four hours
| Destination | Why it works |
|---|---|
| Georgia | Mountains, wine country and Tbilisi's old town; snow in winter |
| Armenia | History, excellent value and warm hospitality |
| Azerbaijan | Baku's architecture, great hotels and strong events infrastructure |
| Turkey | Istanbul and a Cappadocia balloon flight at dawn |
| Maldives | Small high-performer groups; a private island feel |
| Salalah | Green, misty khareef season from July to September |
| Kazakhstan | Almaty's mountains and something genuinely new |
Further afield
For bigger rewards and longer programmes: Thailand, Vietnam, Bali, Japan, Switzerland and Kenya for a safari. These need more planning time, especially for visas.
Visas for mixed-nationality teams
This is the single biggest planning risk for UAE companies. One destination can be visa-free for some of your team and need a full visa, with an appointment, for others. Our approach:
- Collect passport details at the start, not after the destination is chosen.
- Map the entry rules for every passport against each shortlisted destination.
- Prefer destinations that are simple for everyone, or allow enough time for the slowest visa.
- Start applications early, with a group itinerary, hotel confirmations and a company letter.
- Check residence validity: many countries want your UAE residence valid for several months beyond your return.
As a guide: for Schengen, UK or Japan, allow eight to ten weeks; for e-visa destinations, two to three weeks.
Budget
A realistic incentive budget covers:
- Flights, ideally on a group fare with flexible name changes
- Hotels, usually four or five-star, with a welcome amenity
- Activities and excursions
- A gala or signature dinner
- Ground transport and guides
- On-site staff from our team
- Branding, gifts and photography
- Visas, insurance and contingency
We present two or three destination options with full per-person costs, so you can compare like with like.
Timing
- Best seasons: October to April for most destinations; summer for the Caucasus, Salalah and Europe.
- Avoid: Ramadan, unless the programme is designed for it, and peak holiday weeks when prices rise.
- Lead time: three to six months for most programmes; longer for large groups or long-haul.
What makes it memorable
- One experience they couldn't book themselves: a private dinner in a castle, a sunrise balloon flight, a chef's table.
- Free time as well as structured activities.
- Recognition from leadership during the trip, not only at the office.
- Personal touches: names on welcome gifts, dietary needs remembered, a photographer.
- Smooth logistics, so nobody waits in a queue or wonders where to go.
After the trip
Share photos and highlights with the wider company. It rewards those who went and motivates those who didn't. We provide a photo gallery and a short summary for internal communications.
